In our Transport Documents blog article, we list the main documents used for the shipment of goods complying with current legislation, regardless of the type of shipment made. These documents are mandatory and must strictly comply with applicable laws.
In this article, our goal is to relate the supporting documents. These are documents not required by law, but they serve as a support to ensure that transport services are properly checked and validated, from boarding to disembarkation, either for closed cargo or distribution. As these are not mandatory documents, we will list the documents that TRANS REID uses in its operations with the sole purpose of providing a quality and safety service to its customers.
COLLECTION ORDER
The Cargo Collection Order is considered a supporting transport document issued by the carrier with the purpose of informing the driver of the origin and destination of the cargo. In it, it is possible to inform, regarding the operation that are provided by the contractor, the name of the person responsible for the request and if there is any person to be contacted in the collection, their name must be included in this document. Some companies, especially warehouses, request the Pickup Order from the carriers.
DELIVERY RECEIPT
The TRANS REID team has developed a document called proof of delivery. It is a paper version of mobile. Contains information pertinent to routing, description of recipients, time of collection and delivery, km traveled, space to relate occurrences and the protocol of the delivery with the signature of the recipient. It serves as a support to the Customer Invoice stub. Efficient, very useful for the administrative operating and our customers.
OCCURRENCE REPORT
Any and all occurrences that are out of schedule are reported in the occurrence report. This document serves to make the continuous improvement of TRANS REID processes and procedures increasingly efficient. It is also used to give due justification to our customers from the field team’s point of view of any off-schedule occurrence. This document is treated as a job occurrence or a nonconforming NC is opened.
FLEET AND PPE CHECKLIST
In the article ‘Importance of the checklist’ we describe very clearly about the usefulness and benefits of using these supporting documents. They serve as a compass that reminds us of all items that can compromise operation and cause wasted time and focus. We recommend reading because it is clearly written and succinctly about how these documents are essential for safe and quality transportation.
